The Basics

What is WebEx?

WebEx web conferencing is a great way to work with people in other locations.

WebEx technology allows you to meet, collaborate, present, and share content — all on the web. Meet face-to-face with HD video conferencing. Share your entire desktop, or specific documents or apps, with everyone in the meeting. Participants can also give "remote control" to others for demonstration or support purposes.

How does it work?

WebEx software is delivered over the web as you need it. You don't have to download, update, or maintain it. Set up an account and start using WebEx within minutes — you can use it from any computer with an internet connection, and from most smartphones and tablets.

You can email, IM, or text others to invite them to your meeting. Attendees don't have to have a WebEx account. Your invitation includes a link they can click to join you online.

How many people can I have in a WebEx session?

If you have a WebEx Meetings Basic account, up to 3 people can attend each meeting (including you, the host).

If you purchase a WebEx Meetings Premium account, you can choose from three plans. Premium 8 has a maximum capacity of 8 people per meeting (including the host). Premium 25 allows a maximum of 25 people, and Premium 100 has a maximum of 100 people.

What's the difference between WebEx Meetings Basic and WebEx Meetings Premium?

WebEx Meetings Basic is a free version of the product with a limited set of features:

  • Up to 3 people per meeting, including you, the host
  • Join the meeting by VoIP (your computer's audio) only
  • Standard-quality video with up to 3 video feeds
  • Desktop and document sharing only (no application sharing or remote control)
  • Use of Meeting Spaces for collaborating and staying on track before and after
    a meeting
  • 250 MB of storage

WebEx Meetings Premium is available in three plans: Premium 8 for meetings of up to 8 people including you, the host ($24/month), Premium 25 for meetings of up to 25 people ($49/month), and Premium 100 for meetings of up to 100 ($89/month).

In addition to increased meeting size and all of the features of a Basic account, Premium packages offer these enhancements:

  • Share applications — show attendees just what they need to see and keep the rest of your desktop private
  • Remote control — share control of your mouse for demonstration or support purposes
  • Join the meeting's audio by phone instead of VoIP, if you prefer
  • High-definition video (up to 720p) for a crisp, clear visual
  • 1GB of storage

What is a host?

A host is the organizer who schedules and starts a WebEx meeting or session.

Each WebEx account includes at least one host license for a specific user. When you set up a WebEx account, you decide how many hosts will need to be licensed to schedule and start meetings. For example, if there are 3 people on your team who need to schedule and start meetings, you need 3 host licenses. There is an additional fee for each host license you add to your account.

What is a presenter?

The presenter is the person who shares content with everyone in the meeting. The host can pass the presenter role to another user in the meeting at any time.

Can someone else present?

Yes. The host can pass control to anyone in the session by simply clicking the appropriate name in the attendee list and choosing "Make presenter." That attendee can then share content with the group.

How does the audio work?

Integrated audio is part of every WebEx product. A single meeting invitation covers both the web and phone connections for your meeting.

When you purchase a WebEx product, you choose the type of audio you want to include, and whether to purchase an optional audio plan.

  • VoIP (Internet calling) lets participants attend meetings using their computers' built-in audio systems. (Integrated into all WebEx products.)
  • Toll call-in (by phone) provides a phone number that participants can use to join the conference. Long distance charges may apply. (Not included with WebEx Meetings Basic accounts.)
  • Call Me makes it even easier for participants to join meetings. You simply enter a phone number when the meeting starts, and the session calls you — you join the meeting audio by answering the phone. This feature can be added to your account as part of a Call Me/Toll-Free audio package (Optional add-on — not available for WebEx Meetings Basic accounts.)
  • Toll-free call-in provides attendees with a toll-free number so they may choose to attend the meeting at no expense to them. (Part of the Call Me/Toll-free add-on package; not available for WebEx Meeting Basic accounts.)
  • International calling and international toll-free service are also available, on a per-minute, per-attendee basis. For international options, please contact our Solutions Specialists at 1-877-509-3239

WebEx products support mixed conferencing capabilities, so different people can join by computer (VoIP) or phone within the same session.

Active Speaker technology dynamically features the current speaker whether you are in a video conference or an audio-only meeting. As the host, you can mute any or all attendees, and participants can mute or unmute their own audio.

What's the difference between toll and toll-free?

With accounts that do not include a Call Me/Toll-Free plan, attendees call an ordinary toll phone number. Long distance charges from each individual's phone carrier may apply. An example of a toll call-in number is (650) 555-1234.

If the WebEx account includes a Call Me/Toll-Free plan, attendees can call in to a toll-free number and won't have to pay long distance charges from their phone carriers. An example of a toll-free number is (800) 555-1234.

Can I use my own teleconference number?

You may use WebEx with any third-party phone conferencing solution. However, using third-party phone conferencing will require that you schedule the phone and web portions of your meeting separately. You also won't have Active Speaker — which shows you who is talking — or the ability to mute attendees from within your WebEx meeting.

Can I use WebEx from my mobile phone?

Yes! WebEx Mobile for WebEx Meetings and Meeting Center allows you to host and attend meetings on 3G/4G or WIFI from your smartphone or tablet. You can:

  • Schedule, host, and attend meetings
  • Pass the presenter role to someone who wants to share content
  • View presentations and shared content and see who's in the meeting

Does WebEx include video conferencing?

Yes, all WebEx products include video conferencing.

WebEx Meetings Basic includes standard-quality video. WebEx Meetings Premium and Enterprise come with high-definition video (in full-screen mode). You can watch up to 7 video feeds per meeting! WebEx Training Center, Event Center, and Support Center include high-quality video.

Can I record my WebEx session?

Yes! Record any of your WebEx sessions for sharing or reviewing later. A link to your recording will be available in your Meeting Space or on your WebEx site for you to access and share.

Is WebEx supported across different platforms?

You can host or join a WebEx meeting from PC, Mac, Linux, Unix, and Solaris systems — and most smartphones and tablets.

How is WebEx different from other services like this?

WebEx users also have access to a catalog of training options, including specific, 2-minute "How-do-I...?" videos, as well as self-paced and instructor-led courses that cover everything from the basics to advanced-level skills.

Do I get technical support?

Every paid WebEx account comes with 24 x 7 live technical support (WebEx Meetings Premium and Enterprise, Meeting Center, Event Center, Training Center, and Support Center accounts). Sign in to My Account or MyResources to contact support.

WebEx users also have access to a variety of online help articles, videos, and user guides that address common questions.

How can I change or cancel an account?

WebEx Meetings accounts:
To make changes to your WebEx Basic or Premium account, sign in to My Account. There, you can upgrade a Basic account to Premium, downgrade your Premium account, add audio plans and features, increase storage space, and more.

If you downgrade your WebEx Meetings Premium account to a Basic account, you will still have access to your files, recordings, and limited features of WebEx Meetings. You will no longer have any monthly or annual charges following the end of your current billing term.

Other WebEx accounts:
Sign in to MyResources to add or change hosts, order additional services, update your billing information, and more.

You can also submit a request to cancel your account by signing in to MyResources. Your account will automatically renew at the end of your current term agreement. To cancel it and avoid being billed for the following month, you must call, or submit an online request in MyResources at least 30 (thirty) days before the end of the term agreement (based on the date you originally subscribed).

WebEx Meetings vs. WebEx Meeting Center

How is WebEx Meetings different from WebEx Meeting Center?

WebEx Meetings is the latest version of our industry-leading web conferencing product. It offers the same rich online meeting experience you're used to with Meeting Center, and both versions include integrated audio, HD video, and content sharing.

What's different about new WebEx Meetings? We know there's more to a meeting than a 30-minute point in time. Preparation before the meeting, follow-up after, and collaboration that happens from start to finish are all part of the "meeting lifecycle."

With this in mind, WebEx introduces Meeting Spaces, an exciting new part of WebEx Meetings. Meeting Spaces capture all the great thinking that goes on before, during, and after your meetings — collaboration, brainstorming, file sharing, commenting, chat, agendas and notes — all in one persistent, secure, online place.

Can I still get a personalized meeting URL for my company?

Customers who purchase WebEx Meetings Enterprise (10+ licenses) can still choose a personalized WebEx URL (company.webex.com). For an additional fee, they can also get a branded site.
